What to Look For in an AI Receptionist

2026-08-16

AI receptionists are everywhere now, and they are not all the same. Before you hand your front door to one, here is what actually matters.

1. The voice

Listen to it on a real call, not a demo clip. If it sounds robotic, your callers will treat it like a machine and hang up. A natural voice is not cosmetic; it is the difference between a lead and a hang-up.

2. How leads reach you

A receptionist that captures a lead but buries it in a dashboard you never check is not helping. You want the lead delivered where you will actually see it, with the caller's details ready to act on.

3. Booking

If you want the receptionist to book appointments, it needs to connect to your calendar. Make sure that integration is real and that the receptionist can check availability and schedule without double-booking you.

4. Data handling

Every call carries customer information. Ask where that data is stored and who can touch it. A provider that self-hosts its pipeline keeps fewer hands on your customers' data than one that routes every call through a third-party platform.

Get those four right and you have a front desk that works while you work. Get them wrong and you have an expensive voicemail machine.
